General
- If you are unsure about what plan to choose or would like to meet your coach first, RRE offers one free consultation per individual for up to one hour. Inquire via the contact form.
- RRE programming is based on UESCA curriculum and the established UESCA scope of practice.
- Every program/plan that is race or event-specific will have a start date and an end date based on one week following the race or event. If the program/plan is not based on a race or event, then the term limit will be discussed and agreed upon between client and coach (i.e., one year, 6 months, 12 weeks, etc).
- It may take up to a week to onboard with your coach, despite a start date already being in effect. This includes meeting virtually to discuss the required forms and your goals, etc.
- Programs/plans are structured with a Monday through Sunday week.
- Weekly training schedules are posted 1-2 weeks beforehand, with a minimum of posting on the Friday before the week due. Your coach will do their best to adhere to this, and they will communicate to you if and when they need to post schedules further out in advance to accommodate certain travels/obligations (whether yours or theirs), or if they need to post your week later than expected.
- RRE uses the Training Peaks platform/app. If, for some reason, you are unable to use this app, we can discuss alternative means of posting your training schedule, such as via email or a shared spreadsheet.
- Renewal or continuance of programming/planning after the term date can be instigated with a written request by the client at any point. However, the coach retains the right to refuse renewal/continuance for any reason, including, but not limited to: incompatibility, limited bandwidth, non-compliance, and/or health/safety concerns.
Other Legal Stuff
- Your coach reserves the right to recommend/require seeking professional medical care if you present with physical/medical injury and/or cardiovascular issues/concerns, especially if you have not been assessed by a physician within the last 12 months.
- We strive to prioritize your health and safety, AND it is also the position of RRE that you are ultimately responsible for your own health and safety.
- If you ever train with or meet your coach in person for any related coaching purposes, you and your coach must uphold professional and safe practices and must not engage in harmful or deceitful behaviour.
- All program/plan data and information gathered by your coach and RRE, whether via the required forms or via tracking/program apps (i.e., Strava, Training Peaks, etc), is and shall remain confidential.
- RRE does not prescribe or diagnose. RRE does not practice beyond their scope of work. RRE coaching is not meant to supersede or replace the expertise of professional medical professionals (i.e., doctors, physical therapists, nutritionists, dieticians, psychologists, massage therapists, etc).
Required Forms
- Athlete Intake Profile – A Google Form designed to collect information about you as a client. This information remains confidential.
- Health History Questionnaire – A Google Form designed to establish a health/fitness baseline and to help your coach learn more about you medically. Some of the questions may feel redundant, but please still answer them. This information remains confidential.
- Liability Waiver – To be signed by both you and RRE via DocuSign.
- Contract of Service – Every program/plan requires the drafting of a contract between client and coach, with term dates, conditions, and program scope, signed via DocuSign.
- Other: If you are solely requesting mentorship calls, you are only required to sign the Liability Waiver.
- Required forms will be sent to you via email after initial contact has been made between you and your coach.
Payment/Cancellation/Refunds
- The current preferred method of payment is Venmo, though alternative means may be discussed and agreed upon. Payment is made in advance of services and due as stated in your Contract of Service agreement or upon booking of a mentorship call.
- LATE FEES for monthly plans: Due to the manual nature of RRE’s current payment means, the client must manually pay the coach on the designated date via the predetermined method. However, the coach reserves the right to instigate a payment request within 5 days of the due date (before and/or after) via the payment app or by email. If payment is made 10 days or more after the due date, a late fee of $5 will be added to your next monthly dues.
- TERMINATION of monthly plans: If you fail to pay your coach within 20 days of your due date, your contract will be subject to the non-compliance clause and will be terminated.
- If you or your coach must CANCEL monthly services, a written request or a statement of intent must be documented.
- If you are on a monthly plan and cancellation occurs before the contract term date, the cancellation effective date will either be the date of written intent (i.e., a future predetermined date) or the final date of any already-posted training schedule material, whichever comes last.
- REFUNDS for monthly plans: RRE will take the cancellation effective date and determine the prorated amount. If there are excess funds for any month or time remaining after this determination, the excess funds will be refunded to you.
- Monthly Plan scheduled check-in calls:
- These calls, whether by voice or by virtual meet, are included with your monthly programming and are not subject to any identifiable/separate refund.
- These calls may be CANCELLED and/or rescheduled up to 2 hours prior to the scheduled date and time, whether prompted by you or your coach.
- If less than 2 hours, or if you or your coach misses the call, the call cannot be rescheduled by you or your coach, and will be effectively skipped.
- Once the call time starts, you or your coach has 15 minutes to show up. If 15 minutes pass and you or your coach has not shown up, the call must end, will be labelled as a no-show, and will be effectively skipped.
- If a trend develops of no-shows/skipped calls, this may impact program renewability or may risk contract non-compliance, on your part or the coach’s.
- If you buy a “Just the Recipe” plan and/or any of its add-ons, you are not entitled to any refunds, as these are one-off, complete items.
- Mentorship or One-off/Add-on Calls:
- Booking is done by requesting this service via the Contact page if you are new to RRE or by email request if you are not new. Coach Sara will formally request payment. Once payment is received, Coach Sara will send a Calendly link to schedule your call.
- These calls, whether by voice or by virtual meet, may be cancelled for a full refund and/or rescheduled up to 6 hours prior to the scheduled date and time.
- If less than 6 hours but greater than 2 hours, no refunds will be issued if cancellation is needed. However, you may reschedule (which also resets the refund timeline).
- If less than 2 hours, or if you miss the call, the call cannot be cancelled nor rescheduled (and no refund). If you still wish to meet, an entirely new call must be booked.
- Once the call time starts, you have 15 minutes to show up. After 15 minutes, the call will end and will be labelled as a no-show. The prior bullet point then applies.
- If it is the coach who misses the call, you are entitled to a full refund.
- If your coach requests to reschedule within 2 hours of the scheduled time, you are entitled to either cancel (for a full refund) or accept the reschedule request with a partial refund of half the booked price.
